When you contact us about booking a venue, we may collect the following information from you:

  • Details of the event, such as preferred date time, number of guests, and any special requirements for your guests

 

Providing this information is voluntary, however we may be unable to assist you with your enquiry or enable you to make a booking if you do not provide the information.

How we will use the information you give us

We will use the information you give us to provide you with information about using the Botanic Gardens of Sydney as a venue, and to assist you with booking an event. We may also use the information to contact you about the enquiry or booking you have made, and for any actions associated with booking your event.

We will also use your information to send communications to you if you have opted into receiving information from us regarding facilities, programs, services or promotions about the Botanic Gardens of Sydney.

Your information may be shared with other agencies or external parties where necessary to facilitate the event you are booking, such as a catering firm or event manager. Your information will not be shared for any other reason, except as required or authorised by law.

Your information will not be kept for longer than is necessary

We will not keep your information for any longer than is necessary to deal with your enquiry or booking. If you make an enquiry with us, and do not subsequently make a booking, your information will be deleted from our records within 2 years of your last contact with us.

If you have booked an event, your personal information will be removed from the event after 2 years so as to anonymise the information and allow us to gather aggregated data on the use of the Botanic Gardens of Sydney as a venue.

Your information will not be deleted from our records if you have opted in to receiving communications from us regarding facilities, programs, services or promotions about the Botanic Gardens of Sydney.
